Retreat Agreement, Assumption of Risk & Media Consent
Thank you for choosing to participate in Rest & Recoup: Barbados, hosted by The Green Coterie, April 9–13, 2027.
This agreement outlines the terms of participation, payment and cancellation policies, travel responsibilities, assumption of risk, and media consent associated with the retreat.
Please review this agreement carefully before submitting your retreat payment.
Retreat Investment & Payment
The total retreat investment is $2,250 per participant.
A $450 non-refundable deposit is required to reserve your space.
The remaining balance may be paid in full at any time or according to the following payment schedule:
November 15, 2026 — $450
December 15, 2026 — $450
January 15, 2027 — $450
February 15, 2027 — $450
All retreat balances must be paid in full by February 15, 2027.
For registrations received after an installment due date, the $450 deposit plus any installments already due must be paid at the time of registration.
What Your Retreat Investment Includes
Four nights of accommodations
Round-trip airport transfers between Grantley Adams International Airport and the retreat accommodations
Four continental breakfasts, three lunches, and three dinners
Curated retreat programming and wellness experiences
Retreat materials and special touches
What Is Not Included
Airfare
Transportation outside of scheduled airport transfers
Meals, activities, excursions, shopping, and other personal expenses during designated free time
Cancellation & Refund Policy
The $450 registration deposit is non-refundable.
For cancellations received on or before December 15, 2026, 75% of payments made beyond the non-refundable deposit will be refunded.
For cancellations received December 16, 2026 through January 31, 2027, 50% of payments made beyond the non-refundable deposit will be refunded.
For cancellations received on or after February 1, 2027, all payments are non-refundable.
Transfer of Registration
If you are unable to attend, you may request to transfer your registration to another eligible participant.
All transfers require prior written approval from The Green Coterie.
The original participant is responsible for identifying a replacement participant. The Green Coterie is not responsible for finding a replacement on your behalf.
Any replacement participant must complete the required registration process and agree to the Retreat Agreement before the transfer is finalized.
Retreat Changes or Cancellation by The Green Coterie
The Green Coterie reserves the right to make reasonable changes to the retreat schedule, programming, facilitators, accommodations, or other retreat details when circumstances require.
If The Green Coterie must cancel the retreat, participants will be notified as soon as reasonably possible and provided information regarding any refund or alternative arrangements available.
The Green Coterie is not responsible for participant expenses incurred outside of the retreat investment, including airfare, travel insurance, or other personal travel expenses.
Events Beyond Our Control
The Green Coterie is not responsible for delays, changes, interruptions, or cancellations caused by circumstances beyond its reasonable control, including severe weather, natural disasters, government actions or restrictions, public health emergencies, transportation disruptions, or other unforeseen events.
If such circumstances affect the retreat, The Green Coterie will make reasonable efforts to provide suitable alternatives or adjustments when possible.
Travel & Free-Time Responsibilities
Participants are responsible for arranging and paying for their own airfare to and from Barbados.
Participants are also responsible for ensuring they have a valid passport and meet all entry and travel requirements for Barbados.
Activities, excursions, transportation, meals, and other expenses during designated personal free time are independently chosen and are the participant’s responsibility.
The Green Coterie is not responsible for incidents, injuries, losses, delays, or other circumstances arising from independently arranged activities or transportation during personal free time.
Travel Insurance
Travel insurance is strongly recommended.
Participants are encouraged to obtain coverage for unexpected circumstances, including trip cancellation or interruption, medical emergencies, travel delays, and lost or delayed baggage.
The Green Coterie does not provide travel insurance, and obtaining appropriate coverage is the participant’s responsibility.
Nature of the Experience
Rest & Recoup is designed to support rest, reflection, connection, and personal renewal in a gentle and invitational environment.
Retreat activities may include:
Gentle body-based practices, including tapping and grounding exercises
Sound and sensory experiences
Guided reflection and group discussion
Time in shared living and gathering spaces
These offerings are not medical, psychological, or therapeutic treatment and are not a substitute for professional healthcare or mental health services.
Personal Responsibility & Assumption of Risk
Participation in all retreat activities is voluntary.
Participants are responsible for listening to their bodies, honoring their personal limits, and choosing their level of participation at all times.
I understand that travel, movement, sound and sensory experiences, shared spaces, and group activities may carry inherent risks.
I voluntarily assume responsibility for the risks associated with my participation in the retreat.
Release of Liability
To the fullest extent permitted by law, I release and hold harmless The Green Coterie, its representatives, facilitators, and collaborators from claims arising from the ordinary risks associated with my voluntary participation in retreat activities.
This release does not apply to liability that cannot legally be waived.
Media & Photography Consent
Photos and videos may be taken during the retreat for documentation and promotional purposes related to The Green Coterie.
Participation in photos and videos is optional. If you do not wish to be photographed or recorded, please notify The Green Coterie in writing before the retreat begins. Every reasonable effort will be made to honor your preference.
By participating in photographs or recordings, you grant The Green Coterie permission to use approved images or recordings for marketing, educational, or informational purposes without compensation.
Acknowledgment & Agreement
By submitting payment for Rest & Recoup: Barbados, I confirm that I have read, understand, and agree to the terms of this Retreat Agreement.
I understand that my payment constitutes my acceptance of these terms and my agreement to participate with personal responsibility, awareness, and consent.
